Estimating Coordinator

Primary Job Summary: We’re looking for a detail-oriented, proactive Estimating Coordinator who thrives in a fast-paced environment and enjoys being at the center of project opportunities. In this role, you’ll support our estimating and sales teams by managing incoming bid opportunities, organizing critical bid information, and keeping our project pipeline running smoothly.

 

Compensation:  $24-$27 per hour with overtime after 40 hours.  After an on-boarding period benefits include health, dental, and vision insurance, HSA, PTO, and paid holidays. Profit sharing will be available after one year of service. Opportunity for advancement in the estimating department and in our company. 

 

Work hours: Full-time 40 hours weekly with a flexible schedule year round, overtime after 40 hours during peak seasonal periods.

What You’ll Do

Be the first line of opportunity.

  • Identify and gather potential projects to bid on through plan rooms, invitations, and other sources.

  • Present opportunities to the Sales & Marketing Leader for bid/no-bid decision making and Estimator assignment.

Keep our pipeline organized and clear.

  • Maintain an up-to-date Outlook calendar of all upcoming bids.

  • Track bid data, pipeline activity, results, and historical performance to support sales planning and reporting.

Own all prequalification and compliance documentation.

  • Obtain project-specific prequalification’s.

  • Maintain all annual prequalification’s, licensure renewals, and bid bonds.

Make sure every bid goes out clean, complete, and on time.

  • Prepare all bid forms, including prequalification’s, bonds, licenses, DBE forms, and signature requirements.

  • Order bid bonds and secure all necessary signatures.

  • Coordinate and schedule timely delivery of all bids.

Support our Estimators and our team’s success.

  • Assist with pre-bid meetings, plan/spec takeoffs, contacting subcontractors and suppliers, reviewing worksheets, and delivering bids.

  • Jump in wherever needed, adaptability and teamwork are key.

  • Highly organized, with a strong sense of ownership and follow-through.

  • Comfortable managing multiple deadlines and communicating effectively across teams.

  • Detail-driven, dependable, and eager to support a mission-focused operation.

  • Not afraid to ask for help when needed, collaboration is essential.

Preferred Qualifications: 

·       Experience in construction estimating, project management, office admin or related field.

·       Experience reading plans and specifications.

·       Experience with Excel, Bluebeam Revu or similar construction takeoff software.
